An AI-made inspection checklist as one link staff open, and update later

Quick answer

Publish the checklist's HTML file as a page, then send its link or print its QR code. When a site or a check changes, upload the corrected file as a new version of the same page, or ask Convika's AI for the change, and publish it at the same link. Staff keep the link they have, and printed QR codes keep working.

ChatGPT made you an inspection checklist as an HTML file, and it works on your laptop. Now 12 people need it on their phones, on site, every week. And next month a new building joins the round, so the list of sites changes.

Sending the file means everyone opens a copy, and a changed list means sending it again. A link avoids both: staff open the page in their browser, and you change what's behind the link without changing the link. The Netlify and GitHub pages quoted were read on November 4, 2026.

  • The file may not run. On an iPhone, a tapped .html file opens in a preview that runs no scripts, so a checklist's buttons and photo slots do nothing. Opening an HTML file on an iPhone has the details.
  • Copies drift. Once a file goes out, each person keeps the version they got. A link shows the version you published last.
  • One link fits on a wall. A printed QR code holds the address, so a sticker at the site entrance opens the checklist with the phone's camera.

Convika takes one .html or .htm file, up to 2 MB, or the code pasted in. Drop the file into the upload box at the top of this page to see a private preview without an account.

That preview runs no scripts, so the checklist's buttons don't respond in it yet. Click Keep this page — free, no card and sign up: the page moves into your account, where its scripts run, and you publish it at its own address, such as yourpage.convika.page.

If you don't have the checklist yet, Convika's field report template makes one from a sentence about the round, with yes / no / N/A checks, the time from now, Use my location, and photos. Making a field report form with AI walks through it.

Every change goes in as the next version of the same page. There are two ways to make it:

  • Ask Convika's AI. On the page's screen, type the change into Edit with AI, such as "Add Building C to the sites and a check for emergency exits", and click Send to AI. Each edit uses AI credits: 1 on the default model.
  • Upload the corrected file. Ask the AI that made the checklist for the whole corrected file, then on the page's screen click Upload a new version under Update from an HTML file. Uploading uses no AI credits.

Either way you get a private preview first. The live checklist changes only when you click Publish v2 at the same link (with your version number). If a change breaks something, Version History rolls the page back. Updating a page without changing its URL covers versions, previews, and rollback in full.

What staff see after you update

Staff who open the link see the version that's live when they open it. Someone with the page already open in a tab sees the old version until they reload it, so tell the team to reload after you publish a change.

The QR code doesn't change: it holds the address, not the checklist. The dashboard's QR code panel says the code still works after you publish a new version.

Most hosts keep the address when you update, but the step to do it differs.

Publish the checklist and update it in 5 steps

1. Get the checklist as one HTML file

Ask the AI for the whole checklist in one file, with the CSS and JavaScript inside it. Put the list of sites and checks near the top of the request, so a later change is one line.

2. Upload it and keep it

Drop the file into the upload box, or paste the code. Click Keep this page — free, no card and sign up. The page is now in your dashboard.

3. Publish it

Click Publish page. Under Who can open this page?, choose Public and click Next. The first time, click Publish free. A Public page can show up in search results and in Convika's gallery; for a site list that's internal, choose Private link or Only people with the password instead (Pro, $12 a month).

Copy the address into the team chat. Click Show QR code to get the code for a sticker or a printed sheet at each site.

Make the change with Edit with AI or Upload a new version, check the preview on your phone, and click Publish v2 at the same link. Then ask the team to reload the page.

Frequently asked questions

Upload the HTML file to a host and send the address. On Convika, drop the file into the upload box, keep the page, and publish it. Staff tap the link and the checklist opens in their phone's browser.

Yes. Upload the corrected file as a new version of the same page, or ask Convika's AI for the change, then publish it at the same link. The address stays the same, and everyone who opens it sees the new version.

Will a printed QR code still work after I change the checklist?

Yes. The QR code holds the page's address, and the address doesn't change when you publish a new version. Scanning it opens the version that's live.

Do staff have to download anything?

No. The checklist opens in the phone's browser from the link. Nobody installs an app or signs in.

Why do some staff still see the old checklist?

They opened it before you published, and the tab kept what it loaded. Ask them to reload the page. If it still looks old, check that you clicked Publish v2 at the same link after uploading.

Can I go back to the old checklist?

Yes. In Version History on the page's screen, choose the version you want and roll back to it. The live page shows it at the same address.

Does updating the checklist cost anything?

Uploading a new version uses no AI credits. A change made with Edit with AI uses 1 AI credit on the default model.
