One link for an HTML report template staff fill in and save as PDF

Quick answer

Publish the report template's HTML file as a page and send everyone one link. Each person opens it on their phone, fills it in, and saves a PDF through the browser's print. What one person types stays on their phone, so nobody overwrites anyone else's. The link stays when you change the template.

ChatGPT made an incident report template as an HTML file: fields to fill in, and a button that saves the result as a PDF. On your computer it's perfect. The question is how 20 people on the team get it on their phones, and keep getting the current one.

Send them a link to the page instead of the file. This guide covers why the file fails on phones, what happens when many people use one link at once, and how the PDF step works on a phone. The Google help quoted was read on November 4, 2026.

Why sending the template file doesn't work on phones

A template only works where its scripts run. Sent as a file, it usually lands somewhere that doesn't run them:

A link opens the page in the phone's browser, where the scripts run and the Save as PDF button works.

Everyone opens the same page, but each person fills in their own copy of it, in their own browser. One person's answers never appear on another person's phone, and nobody can overwrite a colleague's report. When they save the PDF, it's theirs.

That also means the page keeps nothing for you. If you need every report in one place, the PDF has to be sent on, or the page has to send its answers somewhere. A template made with Convika's field report template can send each report to your dashboard as one form entry with its photos, and you get an email for each one; the photos also go out with the PDF, a share, or the HTML copy. Making a field report form with AI covers that setup.

Saving the PDF on a phone

A Save as PDF button in an HTML page usually calls the browser's print, which then offers PDF as a printer.

  • Android (Chrome). Google's help: tap More, then Share, then Print; at the top, choose a printer, and to save the page "select Save as PDF". Then pick where to save it.
  • iPhone (Safari). The button opens the print screen; save or share the PDF from there.
  • Computer. In the print dialog, choose Save as PDF as the destination.

If the PDF comes out with the buttons and menus in it, ask the AI that made the template to hide them when printing: "Add print CSS so only the report prints, without buttons or the page's menu."

When the template needs a new field, get the corrected file from the AI and upload it as a new version of the same page, then publish it at the same link. Everyone keeps the link they have; the next time they open it, they get the new template. Updating a checklist at the same link walks through it.

1. Check it's one file

Convika takes one .html or .htm file, up to 2 MB. The CSS and JavaScript should be inside it, and any logo should use a full https:// address.

2. Upload it and keep it

Drop the file into the upload box at the top of this page. Its preview runs no scripts, so the buttons don't respond in it yet. Click Keep this page — free, no card and sign up: the page moves into your account, where its scripts run.

3. Publish it

Click Publish page. Under Who can open this page?, choose Public and click Next. The first time, click Publish free. A Public page can show up in search results and in Convika's gallery, and the Convika bar shows at its foot. If the template itself is internal, choose Private link or Only people with the password instead (Pro, $12 a month).

Send the address to the team, or click Show QR code and print it. Open the link on your own phone, fill in a test report, and save the PDF before anyone else does.

Frequently asked questions

Publish the HTML file as a page on a host and send its address. On Convika, upload the file, keep the page, and publish it. Each person taps the link and the template opens in their phone's browser.

No. Each person fills in their own copy in their own browser. Nothing one person types reaches anyone else's phone.

How do staff save the filled-in report as a PDF on a phone?

Through the browser's print. On Android, Chrome's help says to tap More, Share, Print, then choose Save as PDF as the printer. A Save as PDF button in the page opens the same print screen.

Do I get a copy of every report?

Not from the page itself: a page that only saves PDFs keeps nothing for you. Ask staff to send the PDF on, or make the page with Convika's field report template, which can send each report, photos included, to your dashboard.

Yes. Upload the corrected file as a new version of the same page and publish it. The link stays the same, and people get the new template the next time they open it.

Is it free?

Publishing on Convika's Free plan needs no card. Free has 1 published page, and the page shows the Convika bar.
